Job Opening: Communications Process Administrator

Position Title: Communications Process Administrator
Department: Development
Report to: Communications Process Manager for Development

Educational or Certification Requirements:
A minimum of Associates Degree is required. A Bachelor’s Degree with coursework completed in Marketing, Communications, Public Relations, or Business is preferred.

Experience Requirements:
Minimum 3 to 5 years’ experience in Communications, Marketing or related field preferably in non-profit development

Position Summary:
The Communications Process Administrator will be responsible for providing project updates to donor as needed on a monthly basis. This process involves assessing donor gifts, submitting requests for written project updates, writing donor correspondence, fulfilling the mailing of the material and annotating donor records of the contact. Also responsible for certificates, honor and memorial requests as well as other donation stewardship initiatives. The position will also assist the Communications Process Manager with Development, Acquisition and other Marketing calendars. The Administrator will also assist with setting up interdepartmental meetings, taking notes and ensuring timely follow up with action items.

Job Responsibilities:
  1. Responsible for timely requests to the Development Data Team for monthly reports detailing donations that would require Project Updates
  2. Analyze those lists to determine whether donations require personalized updates, generic updates, or removal based on Project Update procedures
  3. Complete requests as needed to the Communications Dept for the creation of Project Updates and other marketing material
  4. Create written communication to donors, including handwriting and drafting letters
  5. Process the mailing of all donor correspondence either personally or through the Fulfillment Department, depending on the size and complexity of the job
  6. Ensure all donor correspondence is accurately and timely documented in donor records
  7. Create campaign certificates, honor and memorial certificates and other donation stewardship initiatives as requested by the departments within Development
  8. Execute mail merges, hand address, package and mail donor proposals and small campaigns as needed
  9. Assist with large volume mailing projects, in conjunction with the Fulfillment Department
  10. Create agendas for select meetings; coordinate technology set-up and troubleshooting, meeting coordination, and taking meeting notes and any follow-up tracking
  11. Assist with creating and maintaining the marketing strategies and calendars for the Development Department
  12. Other duties as assigned
Knowledge, Skills & Abilities Required/Preferred:
  1. Word, Excel, Outlook, PowerPoint required, databases and Acrobat preferred
  2. Excellent oral and written communication skills
  3. Possess the ability to manage and prioritize multiple tasks simultaneously and problem solve quickly
  4. Meticulous attention to detail and accuracy; diplomacy, excellent oral and written communication and editing skills
  5. Strong sense of urgency; highly organized, outstanding time and project management skills
  6. Excellent interpersonal skills - ability to work well with staff, volunteers and other internal departments
  7. Knowledge of contemporary Christian marketing and fundraising practices, a plus
  8. Must have strong project management skills managing complex, multifaceted projects
  9. Personal qualities of integrity, credibility, and a commitment to the organization’s mission
